Secretary/Personal Assistant
·                      
Job Description:
·                         Organising and maintaining MD’s diary and email account, as well as scheduling appointments for MD
·                         Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
·                         Greet visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs


·                         Coordinating and scheduling all local and overseas business andfamily vacation travel arrangements for MD and occasionally, accommodation
·                         Coordinate conferences and meetings
·                         Complete forms in accordance with company procedures
·                         Compose, type, and distribute meeting notes, routine correspondence, and reports
·                         Locate and attach appropriate files to incoming correspondence requiring replies
·                         Maintain scheduling and event calendars
·                         Make copies of correspondence and other printed material
·                         Open, read, route, and distribute incoming mail and other material, and prepare answers to routine letters
·                         Schedule and confirm appointments for clients, customers, or supervisors
·                         Maintaining all personal and professional files, ensuring that a comprehensive filing system is in place
·                         Carrying out background research and presenting findings, reports and presentations on various matters
·                         Establish work procedures and schedules, and keep track of the daily work of clerical staff
·                         Managing MD’s children’s academic and social activities/schedules in Nigeria n
·                         Manage projects, and contribute to committee and team work
·                         Order and dispense supplies
·                         Maintaining confidentiality, recording and filing system for MD’s office
·                         Operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications
·                         Manage all MD’s laundry activities
Requirements
·                         Must possess excellent communication and persuasive skills
·                         Must possess an amiable personality and people management skills
·                         Must be a self starter, result oriented and highly motivated
·                         4 years experience in a similar role
·                         Must be able to work with minimal Supervision
·                         Must be confident
·                         Must be able to work on saturdays
